InCheck is an AI-driven compliance management system developed by Alleva to centralize regulatory standards, facility policies, and operational workflows. The platform enhances operational excellence by integrating with Alleva's EMR to automate chart audits, incident reporting, and environmental inspections.

Key InCheck features include Policy IQ for document analysis, automated corrective action tracking, and comprehensive human resources monitoring for staff certifications and training. By providing real-time compliance oversight, the tool reduces administrative burdens and shifts the focus from reactive audit preparation to continuous audit readiness.

Ultimately, InCheck serves as a risk mitigation and revenue protection solution that ensures facilities maintain high standards of patient safety and data integrity.

 

💡 Here are the core compliance topics that InCheck helps manage:

  • Standards - The foundation of the InCheck platform, Standards are the specific regulatory benchmarks a facility must meet. The system comes preloaded with Joint Commission (TJC) and CARF standards that can be toggled on or off based on the facility's accreditation. Facilities can also upload state regulations or add custom internal standards to ensure they are meeting all specific operational requirements.

  • Policy IQ - This is an AI-powered feature that automates the alignment between a facility's written manuals and its daily operations. Users upload their policy documents, and the system’s AI reads them to automatically associate specific policies with the relevant Standards. Policy IQ also extracts dates and requirements to generate calendar events, alerts, and checklists, ensuring that the facility's actual practices match their documented procedures.



  • Chart Audits - Located in the "Care" tab, this tool helps facilities maintain clinical quality by auditing patient records against six key segments: Discharge Planning, Medication Documentation, Progress Notes, Treatment Planning, Assessment Documentation, and Client Information. The system calculates an overall compliance score for each audit and tracks trends over time. While currently a manual process where users score items as "Yes," "No," or "N/A," future updates aim to use AI to automatically "read" the chart and score these items.

  • Corrective Actions & Compliance Issues - When an audit or inspection reveals a deficiency (e.g., a missing signature or a blocked hallway), the system prompts a Corrective Action—the immediate step taken to fix the problem. If the issue requires long-term follow-up or staff education, it can be escalated into a Compliance Issue. This creates a task that flows to a user’s dashboard, calendar, and task list to ensure accountability and "close the loop" on the deficiency.

  • HR Onboarding and Training - This segment manages the compliance status of the workforce. All staff members from the EMR automatically sync to InCheck as "Employees". The system tracks onboarding documentation, professional certifications, and required training hours. If a staff member is found deficient during an audit (e.g., poor documentation), managers can assign specific training tasks directly through this module to correct the behavior.



  • Inspections (Life & Safety) - Focused on the physical environment, this module replaces physical clipboards with digital forms compatible with tablets and mobile devices. It supports five specific log types: Environment of Care, Temperature Logs, Equipment Maintenance, Fire Maintenance, and Utilities Maintenance. Users can view past-due inspections and conduct walkthroughs to ensure the facility remains safe and code-compliant.



  • Incident Management - This feature allows for detailed investigation of adverse events. While users can sync initial incident data from the EMR using a "Sync to EMR" button, the detailed investigation notes entered into InCheck do not flow back to the EMR. This one-way data flow is intentional, designing the investigation as a Patient Safety Work Product to provide higher legal protection against subpoenas.



  • Emergency Management This module tracks mandatory safety drills, including fire, medical, active shooter, and natural disaster drills. It utilizes the RACE protocol (Rescue, Alarm, Confine, Extinguish/Evacuate) for documentation, aligning with Joint Commission recommendations. Like other segments, any failures during a drill prompt a corrective action workflow to ensure readiness.
