ERA and Insurance Transactions

How to process ERA's and insurance transactions in Alleva Billing.

ERA (Electronic Remittance Advice) documents automatically flow from Waystar to the payment management tab through our advanced integration. ERA's contain the payment information from the payer, including which claims they are sending payments for and the amounts, as well as other information about the payment.

Once you receive a new ERA, you'll need to post the payment. In order to post a payment from an ERA, follow these steps:

  1. Go to Payment Management > ERA. All ERA's will show up in the list, including any new ERA's, which will have the "Add Payment" button.



  2. An insurance payment will open and most information will be pre-filled with the information from the ERA. This includes the payer info, amount, payment type, and which claims the payment is for. Check that all information looks correct.



  3. Scroll down to the "Already Distributed To" section. Each claim will be listed with the allowed amount, payment amount, adjustment, and patient responsibility already filled. Review this information.

  4. Click on each claim to review the amounts and select the responsible party for any remaining patient responsibility. This could be a secondary or tertiary payer, or the patient themselves. If you are going to go back to the insurance company to discuss the payment amount, place the patient responsibility on hold by selecting "Hold" in the Action dropdown.

     

    5. After everything is reviewed, click "Post". This will create a payment in the Insurance Transactions tab of Payment Management in the "Posted" section. The payment can be accessed there or from the ERA tab by selecting "Review Payment".

NOTE: If the outstanding "Patient Responsibility" is transferred to another insurance company, a secondary claim will be generated in the claim management tab, which will be ready to submit to Waystar from there. If it is transferred to the patient themselves, it will be added to the their outstanding balance, visible on the Patient Account.
